Book Google Calendar meetings from a voice agent
Set up Google Calendar Booking so a Voice Agent can check availability, book meetings, and reschedule them during a call.
The Google Calendar Booking function lets your Voice Agent manage meetings on your Google Calendar during a call. One setup creates three functions.
| Function | What the agent does |
|---|---|
check_availability_google_Calendar | Looks up free times for a date the caller asks about. |
book_appointment_google_Calendar | Books a meeting at a time the caller picks. |
reschedule_appointment_google_Calendar | Moves an existing meeting to a new time. |
Before you begin
Connect a Google account that has Google Calendar access. You can connect it from the Integrations page, or select Connect Google Account inside the setup form if no account is connected yet.
Set up Google Calendar Booking
- Open your Voice Agent and select Functions in the sidebar.
- Select Create Function.
- Select Google Calendar Booking.
- Fill in the form.
- Select Set Up Google Calendar Booking.
| Field | What to enter |
|---|---|
| Select Connected Google Account | The Google account whose calendar the agent uses. |
| Time Zone | The time zone for availability and bookings. The default is Asia/Kolkata. |
| Meeting Duration (mins) | The length of each meeting and of each available slot. The default is 30. |
| Zoom/Teams link or other meeting details (optional) | A fixed link or note added to every booking invite, such as a Zoom URL or a dial-in number. |
Kipps.AI creates the three functions together. If setup fails partway, the functions that were already created stay on the agent. Remove them from the Functions list before you try again.
One setup per agent:
If the agent already has Google Calendar functions, the form shows a warning with the number of existing functions. Edit or delete them from the Functions list instead of creating a duplicate, unless you want a second, independent booking setup.
How the functions work during a call
Check availability. The agent asks for a date and returns free start times in 24-hour format. Slots fall between 09:00 and 18:00 in the time zone you chose, in blocks equal to the meeting duration. Times that overlap an existing event are skipped.
Book an appointment. After the caller picks a time, the agent collects the caller's full name, email address, and 10-digit phone number. It checks that the slot is free, then creates the event. The caller receives a Google Calendar invite by email with a Google Meet link. Your fixed meeting details, if any, are added to the invite.
Reschedule an appointment. The agent asks for the original date and time, the new date and time, and the caller's email address. It finds the meeting that has that email as an attendee, checks that the new slot is free, and updates the event. The caller receives an updated invite.
Edit or remove the functions
The Functions page lists each function with the type Google Calendar. Select the edit icon to change a function's name, description, Google account, time zone, meeting duration, or meeting details. The booking and reschedule functions have a duration field. Only the booking function has the meeting details field.
To stop the agent from booking, delete the functions you no longer want.
Troubleshooting
The agent says no times are available. Availability only covers 09:00 to 18:00 in the selected time zone. Check the time zone and that your calendar has free time that day.
The agent cannot reach the calendar. The Google account connection may have expired. Reconnect the account on the Integrations page, then check the functions use that account.
A booking time is wrong by a few hours. Check the Time Zone on the function. Dates and times the caller gives are read in that time zone.
The caller did not receive an invite. Confirm that the agent collected a correct email address. The invite goes to that address.
